For a Swedish food plant or machine builder, the real cost of a CNC part appears after installation. A low unit price loses its value if the material cannot be traced, a critical fit drifts between batches or a spare part arrives without the surface and cleaning requirements needed for its operating zone.

A strong RFQ prevents those problems before they reach the machine. This guide shows how to source stainless steel CNC parts for food equipment from Poland with controlled requirements, a measured first batch and a repeatable production package.

Define intended use before asking for a grade

The Swedish food authority's guidance places responsibility on the food business to choose material suitable for the food and conditions in which it will be used. Relevant factors include acidity, fat, alcohol where applicable, temperature and contact time, together with supporting documentation and traceability. For a machined component, add the cleaning process and the physical zone:

  • direct product contact,
  • splash or washdown zone,
  • dry machine area outside product contact,
  • detergent and disinfectant type,
  • cleaning temperature and frequency,
  • opportunity for water, salt or product to remain on the surface.

This information is more valuable than the phrase “food-grade stainless.” It lets engineering teams assess whether a common grade such as 1.4301 / AISI 304 is sufficient or whether 1.4404 / AISI 316L or another solution should be considered. Livsmedelsverket does not approve individual stainless grades for every use; the business and supplier must assess the actual application.

Turn the RFQ into a controlled production specification

A quote based only on a 3D model leaves important assumptions unresolved. For comparable offers and stable later batches, provide:

  • STEP model for geometry and a PDF drawing for controlled requirements,
  • drawing number, revision and units,
  • material grade plus any certificate requirement,
  • quantity per batch and estimated annual volume,
  • tolerances only where function requires them,
  • defined datum system and critical fits,
  • surface roughness on named faces,
  • deburring, passivation, polishing or other finishing scope,
  • inspection method, report format and sampling level,
  • marking, packaging and traceability requirements.

The PDF drawing remains the contractual reference for tolerances and notes. The 3D model supports programming but should not be expected to carry requirements that are invisible to the supplier.

Traceability that follows the physical batch

Traceability is useful only when documents can be connected to the delivered parts. A practical chain is:

  1. Purchase order references one drawing and revision.
  2. Raw material is recorded against its heat or batch certificate.
  3. The production order links that material to a defined quantity.
  4. Inspection results identify the batch and measured characteristics.
  5. Delivery and packaging preserve the same identification.

Not every bracket needs individual laser marking. The level should follow risk and customer requirements. For critical product-contact components, a more detailed chain may be justified; for non-contact guards, batch-level control may be enough. Deciding this before quotation avoids unnecessary cost and missing evidence later.

Approve a trial batch before recurring production

The most effective way to qualify a new CNC supplier is to inspect real parts made with the intended process. A trial batch can contain one piece for a unique replacement or several pieces where the buyer needs evidence of process stability.

Before machining, both sides agree:

  • which dimensions are critical,
  • how they will be measured,
  • what documents will accompany the parts,
  • which surface features are visually or quantitatively accepted,
  • what customer approval releases the regular series.

Once accepted, the supplier retains the CNC programs, tools, fixture information and inspection plan under the approved revision. New production parts and obsolete spares

Swedish enquiries generally follow two routes.

For a new machine, the customer supplies a model and drawing. Nomatec reviews the geometry for CNC milling, CNC turning, workholding, tolerances and inspection. Design feedback can remove unnecessary setups or make a critical dimension easier to control.

For an existing machine, the only source may be a worn physical part. Reverse engineering can create a model and production drawing, but wear must not be copied blindly. Shaft seats, bearing fits, seal tracks and mating geometry need to be reconstructed with the customer's technical team. The result is a controlled spare-part definition that can be reordered without sending the sample again.

Parts suited to cross-border CNC supply

Typical food-machinery projects include:

  • shafts, pins, rollers, bushes and sleeves,
  • mounting, adapter and spacer plates,
  • guides, rails and conveyor components,
  • format parts for packaging and filling equipment,
  • cutting, dosing and sealing-machine components,
  • flanges, housings and instrument mounts,
  • jigs, gauges and assembly fixtures,
  • recurring replacement and wear parts.

Consolidating repeat items into planned batches usually gives a more stable unit cost and simpler transport than ordering every component as an emergency. A forecast does not have to be a binding volume commitment; even an approximate annual range helps plan stock, tooling and capacity.

Before awarding a recurring package, verify that the supplier can:

  • review technical files in English and document open questions,
  • machine the selected stainless grade with controlled workholding,
  • separate critical requirements from general tolerances,
  • provide the agreed material and measurement records,
  • run a trial batch before volume production,
  • retain the approved revision and production setup,
  • package finished surfaces for international transport,
  • respond quickly when a revision or demand changes.
